Hirehound reads your resume, your search and the mail you forward so it can find jobs and apply for you. This is what we collect, what we do with it, and what we never do.
The short version
- Nobody at Hirehound reads your search, your resume or your mail. Admins see account metadata only, unless you give a read-only view for 72 hours.
- Applications go only where you authorize them, on the employer's own site, from your email. Follow-ups go only after you approve the exact words.
- We never sell your personal information, and your content is never used to train AI models.
- You can export everything, or delete everything, from Settings at any time.
What we collect
From you
- Your account: your name, email address and how you sign in.
- Your search: your resume and anything you paste with it, the job you describe in your own words, the titles, places, pay and companies you choose, your leash and tailoring settings, and the cover letters you share as voice samples.
- Your standing answers: the answers job forms ask for, such as work authorization, sponsorship, start date and relocation.
- Demographic answers: gender, pronouns, transgender identity, sexual orientation, Hispanic or Latino origin, race or ethnicity, veteran status and disability. These are voluntary and set to Prefer not to answer unless you change them. We treat them as sensitive personal information; see Demographic answers.
- Interview notes: transcripts you paste, or that a call recorder you connect makes available to us.
- Plan details: on Pay when you're hired, the job you report taking: the employer, start date and first-year pay, and the offer letter if you upload it.
As you use Hirehound
- Applications: the resume, cover letter and answers prepared for each job, and the receipt of what was sent.
- Your Hirehound inbox: the mail you forward to it, such as employer replies, verification codes, interview invitations and offers.
- Employer accounts: when you allow it, the accounts created with your applicant email on employer sites, with their passwords encrypted.
- Connections: if you connect Gmail or a calendar, the access needed to send the follow-ups you approve or add interviews to your calendar.
- Payments: what you bought and when. Card details go to Stripe and never reach us.
- Usage analytics: page views, the features used and sign-up steps. They never include anything from your resume, applications or mail, and we do not record sessions.
How we use it
- To find jobs that pass your sniff test, rank them and explain why.
- To tailor your resume and cover letter, using only what is true in your own materials.
- To submit the applications you authorize, answer their forms the way you chose, and keep a receipt of each one.
- To route the mail you forward, so Applications can show replies, codes, interviews and offers.
- To draft follow-ups and interview prep for you to review.
- To bill you, apply partner codes, and confirm a job taken on Pay when you're hired.
- To keep the service secure, prevent abuse, and fix problems.
Who we share it with
- Employers: only the applications you authorize, on their own site, in your name and from your applicant email.
- People you write to: only the follow-ups you approve word for word, sent from your own Gmail.
- Service providers who run parts of Hirehound for us under contract, such as hosting, sign-in, payments and email delivery. They are listed on our subprocessors page.
- When the law requires it, or to protect the rights and safety of our users and others.
Nothing else leaves Hirehound in your name. We never post or send anything on LinkedIn, and we never sell or share your personal information for advertising.
Demographic answers
Demographic answers are kept in their own encrypted store. Only the part of Hirehound that fills application forms can read them, and it uses them only to answer the voluntary self-identification questions on forms you authorize, the way you set them. Hirehound staff cannot see them.
We also count, across everyone, whether people chose to answer or not, in groups of at least 20, to understand outcomes. Those counts never show any one person's answers. You can change or delete your answers at any time in Settings.
People on hiring teams
For some job openings, Hirehound keeps professional information about the people hiring for them: a name, a role or title, a team and an employer. We never keep a home address, family details or personal accounts for these people.
This information is kept at least 12 months from the last time it was confirmed, and deleted when 12 months pass without a confirmation. Anyone can ask to see, correct or remove what we hold about them on our correct or remove my information page. A verified removal deletes the record and keeps the person from being added again.
How we protect it
- Your documents, resume text, mail, answers, demographic answers and employer-account passwords are encrypted.
- Each person's data is walled off at the database level, so one account's queries cannot reach another's.
- Hirehound admins see account metadata only, such as your balance and whether a run failed. They can see your content only if you turn on a read-only view for 72 hours, which you can revoke any time. Every view is logged and listed for you in Settings.
- An admin never signs in as you and can never act as you.
How long we keep it
| Data | Kept |
|---|---|
| Your account and search | While your account is open. An inactive account is warned by email at 11 months and deleted at 12. |
| Receipts of what was sent | The life of your account, because they are your record of each application. |
| Mail in your Hirehound inbox | 12 months, then trimmed to the event it produced, such as an interview date. |
| Interview transcripts | 12 months after the hiring process closes, then trimmed to the drafts and notes made from them. |
| Exports | 7 days. |
| Activity logs | 90 days, with no personal information in them. |
| Pay when you're hired records | Encrypted until the fee is paid or the agreement ends, then deleted, except the invoice. A payroll connection is read once at billing and not kept. |
| Read-only admin access | 72 hours from when you grant it, unless you revoke it sooner. |
When you delete your account, you have 24 hours to change your mind. After that, your data is permanently removed from Hirehound.
Your choices and rights
- Export your whole search, applications, receipts and mailbox from Settings.
- Delete your account from Settings, with 24 hours to undo.
- Correct anything in your profile or answers in Settings, or ask us to.
- Pause your search, or disconnect Gmail, your calendar or a recorder, at any time.
Depending on where you live, you may also have the right to know what personal information we hold, to receive a copy, to correct or delete it, and to limit how sensitive information is used. We honor those requests for everyone, and we will not treat you differently for making one. Write to privacy@hirehound.ai.
Google user data and Limited Use
Connecting Google is optional, and you can disconnect it at any time in Settings or in your Google Account. Hirehound asks for two permissions, each for one job:
- Send email on your behalf (gmail.send): used only to send the follow-ups, thank-yous and scheduling replies you approve, word for word, from your own Gmail. Hirehound sends nothing you have not approved, and it cannot read, search or delete the mail in your Gmail inbox.
- Manage your calendar events (calendar.events): used only to add your interviews to your Google Calendar, and to update or remove an interview Hirehound added when it moves or is cancelled.
Hirehound's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In practice:
- Google user data is used only to provide the two features above, which you can see and control in Hirehound.
- It is not transferred to anyone else, except as needed to provide those features, to comply with the law, or as part of a merger or acquisition with notice to you.
- It is never used for advertising, never sold, and never used to train AI models.
- No person at Hirehound reads it, unless you ask us to and say so, it is needed for security, such as investigating abuse, or the law requires it.
Disconnecting Google revokes Hirehound's access at once, and the tokens are deleted.
AI models
Hirehound uses AI models to tailor documents, draft answers and messages, and research companies. Your content is sent to the model provider only to do that work for you, under commercial terms that do not allow it to be used for training. Hirehound never uses your content to train models.
Children, location and changes
Hirehound is for adults looking for work and is not directed to anyone under 18. It is offered in the United States.
If we change this policy in a way that matters, we will tell you by email before the change takes effect.
